We generally do not need to receive or store customers’ complete payment-card numbers; checkout payment
providers process card details under their own security and privacy terms. Please avoid sending unnecessary
identity documents or sensitive information within engravings, uploads or messages.
3. How information reaches us
We receive information when you place a direct order, request a quote, submit an enquiry or contact form, send us
an email, request a custom design, participate in a promotion or contact us through social media. Our payment and
delivery providers may provide transaction status, fulfilment information or fraud-prevention alerts as needed.
If we enable website checkout, web forms, customer accounts or analytics, the relevant technologies may collect
information needed for those functions.

To administer payments, returns, resizing, repairs, refunds and craftsmanship claims.
To maintain tax, accounting, security and dispute records.
To prevent fraud, respond to legal requests, comply with applicable legal obligations and protect our customers
and business.
To improve customer service and send direct marketing only where lawfully authorised. We do not currently give
customer order records to outside advertising or marketing agencies.
If necessary order details are not supplied, we may be unable to make or deliver the ring or respond to the request.
Where the GDPR/UK GDPR applies, relevant legal bases may include performance of a contract, legal obligation,
legitimate interests assessed against your rights and consent for activities that require it.
5. Essential service providers
We do not currently provide customer order records to independent ring manufacturers or outside marketing
agencies. We may provide necessary information to providers supporting website hosting or e-commerce functions,
checkout/payment processing, email, postal and courier deliveries, accounting or professional advice. Such
providers receive only information reasonably necessary to perform their service; for example, delivery companies
need an address to ship a ring.
THE WOODEN CIRCLE CO / PRIVACY POLICY
THE WOODEN CIRCLE CO • 21 OCTOBER 2026
We do not sell customer contact lists. Service providers may independently handle limited personal information
under their own privacy notices and legal obligations.
6. Marketing and communications
We may send messages required for quotations, production, payment, delivery, product care, warranty or customer
support. Promotional emails will be sent only where permitted by relevant privacy and electronic-marketing laws.
You can opt out of marketing using the unsubscribe option where offered, or by emailing
woodencircle@outlook.com. Essential order-related messages may continue.
7. Cookies and analytics
Our website may use essential cookies required for checkout or security, and optional analytics or advertising
technologies where implemented. Where applicable law requires consent, non-essential tracking will not be
activated before obtaining it.
Where applicable, you can manage browser settings and any consent controls provided on the relevant site.
Disabling certain essential features may affect functionality.
8. Where information is processed
The Wooden Circle Co operates in Australia and does not intentionally send customer order information to
independent overseas ring manufacturers or outside marketing agencies. Website, email, cloud-storage, payment-
processing or delivery providers may, however, process some information outside Australia.
If the Australian Privacy Principles, GDPR, UK GDPR or Swiss law apply to a transfer, we will use a legally
appropriate mechanism and safeguards where required. Security measures may include encryption, access
restrictions and controls appropriate to the service and applicable law.
9. How long information is kept
We generally keep business-related personal information for around five years where reasonably needed for
customer service, administrative and business purposes. Tax, accounting, warranty, dispute or legal records may
need to be kept longer, and other information may be deleted sooner when it is no longer needed. Actual retention
periods depend on the kind of information and applicable law.
At the end of the appropriate period we aim to securely delete or de-identify records that are no longer required,
subject to obligations and technical limits of platforms that hold their own copies.
10. Security and data incidents
We take reasonable measures appropriate to a small, specialised workshop business, including limiting access to
order records, using reputable processors and protecting account access. No system is completely secure. If a data
incident occurs, we will investigate and make required notifications under the laws applicable to us.
11. Access, correction and privacy rights
You may contact us at woodencircle@outlook.com to request access to, correction of or deletion of personal
information we hold, or to object to particular uses. We may need to verify that the request comes from the person
concerned, and we may retain records required for tax, legal or dispute purposes. Where applicable law provides
additional rights, including restriction, data portability or withdrawal of consent, we will respond in accordance with
that law.
Where an independent payment, hosting or other service provider holds personal information separately, you may
also need to contact that provider to exercise applicable rights in its own records.
12. Complaints
Please write to woodencircle@outlook.com with a description of the privacy concern and how you would like it
addressed. We will investigate and respond within a reasonable period and within any mandatory timeframe. If you
remain dissatisfied, you may be entitled to contact a relevant privacy regulator.
In Australia, where the Privacy Act applies to the business or a particular activity, the Office of the Australian
Information Commissioner (OAIC) may be relevant: https://www.oaic.gov.au/. Residents of certain other jurisdictions
may complain to their own data-protection authority.
13. Children and third-party content
Our products and online ordering are not directed at children. If you believe that a child’s information was supplied
inappropriately, contact us. Third-party links and external social media platforms follow their own privacy practices.

THE WOODEN CIRCLE CO • 21 OCTOBER 2026
14. Australian and international law
The Australian Privacy Act 1988 (Cth) and Australian Privacy Principles apply only where the statutory coverage
criteria are met. Some small businesses are exempt; this does not affect our commitment to handle information
responsibly or obligations under other applicable laws. GDPR, UK GDPR or other overseas laws may apply
depending on the nature of our activities and customers.
15. Updates
We may update this Privacy Policy as our actual data-processing practices, business services and legal obligations
change. We will update the date and provide any additional notice or consent required by law. Material changes will
not retrospectively legitimise an unauthorised use of previously collected data.

This site is built with Webstory. To work, it keeps a few small items in your browser: your sound on/off choice, whether you have already seen the swipe tutorial, your privacy choice, and, if you add something to a cart, the id of that cart so it is still there when you come back. None of these identify you.
Usage statistics (which reels are viewed and which buttons are tapped) are collected so the owner of this site can see how it performs. Unless you agree to more, no identifier is stored on your device for this and visits are not linked to each other.
Payments are processed by Stripe. Card details go directly to Stripe and never reach this site.
